The Role
We’re looking for an Account Coordinator to support our Sales Team in the industrial refrigeration space. This is a phone-and-desk-based role where you’ll manage day-to-day account activities — preparing quotes, fielding customer calls, maintaining accurate records, and making sure nothing falls through the cracks.
You’ll work closely with Account Managers and your Sales Support Manager to keep customers happy and operations running smoothly. The best person for this role genuinely enjoys taking care of people, pays attention to details, communicates clearly, and brings enough curiosity to learn a technical product line.
This role is the operational backbone of our sales team. When our Account Coordinators are firing on all cylinders, our customers get faster responses, our Account Managers can focus on growth, and the whole team wins. Some Account Coordinators build deep expertise in this role and make it a long-term career. Others use it as a foundation to grow into an Account Manager position with their own customer book of business and uncapped commission. Both paths are valued here — we’ll invest in your development either way.
What You’ll Actually Do
Field incoming customer calls and respond promptly to inquiries across phone, email, and text.
Prepare and review customer quotes and proposals accurately, verifying product specifications and pricing with vendors.
Maintain organized, up-to-date records of customer communications and account data across internal systems.
Initiate proactive outreach to customers on a structured cadence — not just when they call you.
Aid in customer qualification, onboarding, and segmentation to ensure new accounts are properly set up.
Support Account Managers by managing coordination tasks, freeing them to focus on relationship-building and revenue growth. The Account Coordinator is dually accountable with the Account Manager for growth of the assigned book of business.
Assist in daily Sales Pod/Huddle preparation and participate actively in team meetings.
Gather customer data and insights to support weekly marketing meetings and account strategy.
Participate in Keep Supply’s Open-Book Management (Great Game of Business) practices, understanding how your work connects to the company’s bottom line.
Support the workload of peers and the broader Sales Support team as needed.
A Typical Week Looks Like
About 75% of your time will be spent handling inbound requests — customer calls, quote preparation, order coordination, and data entry. The other 25% is proactive: following up on open quotes, reaching out to accounts on backorders, supporting onboarding, and preparing materials for team huddles. You’ll have a CRM and tools to keep you organized, but you’ll need to bring your own discipline and attention to detail to keep everything running accurately.

Strongly Preferred:
Strong organizational skills — you can manage multiple accounts, tasks, and priorities without dropping balls or needing constant reminders.
Experience in customer service, hospitality, retail, administrative coordination, or any people-facing role.
Nice-to-Haves:
Familiarity with CRM tools and Google Workspace.
Experience with commercial/industrial refrigeration, HVAC, or MRO distribution.
Familiarity with Open-Book Management or Great Game of Business practices.
Any background that shows curiosity about how things work — technical aptitude is trainable, but curiosity is a signal we pay attention to.
Compensation & Benefits
Salary: $45,000 - $50,000/year, plus bonus opportunity
